Support Professional, School of Health Sciences Admissions and Enrollment

The Support Professional, School of Health Sciences (Admissions and Enrollment), is responsible for maintaining the admissions process for programs within the School of Health Sciences.

ESSENTIAL FUNCTIONS

Admissions & Student Support

  • Inform current and prospective students on secondary enrollment information, admission criteria, and processes via phone, email, and in-person inquiries.
  • Guide students through the completion of admissions requirements, including the collection of transcripts, pre-admission tests, criminal background checks, and drug screens.

Data & File Management

  • Manage student records across platforms (PeopleSoft, ImageNow/Perceptive Content, and physical files), ensuring accurate data entry, digitization, and strict confidentiality.
  • Run PeopleSoft database queries to generate reports, ready lists, and accreditation data for program directors, deans, and administrators.
  • Prepare a variety of professional correspondence, including letters, memos, forms, and reports.

Program Collaboration & Maintenance

  • Collaborate with health program directors and administrators to provide admission updates and optimize the flow of admissions information.
  • Regularly update and maintain the Health Admissions manual.
  • Collaborate with health program directors, associate dean and dean to ensure currency and accuracy of health admissions information listed within the college catalog and program webpages for accuracy and alignment.

  • Demonstrate strong organizational skills with the ability to multitask, prioritize, and meet deadlines in a professional manner.
  • Maintain regular, punctual attendance to ensure consistent service to students and the college community.
  • Proficiency with Microsoft Office suite and Google Workspace.
  • Willingness and ability to learn the college-wide systems such as ImageNow, Perceptive Content, PeopleSoft and other college-wide databases. Perform other related duties as assigned.

JOB SPECIFICATIONS

Educational Credentials

  • Associate’s degree or comparable combination of relevant education and experience required

Work Experience

  • 3 years of experience in administrative assistant or customer service position required
  • Experience communicating and working effectively with diverse population

Skills

  • Excellent organizational skills, ability to prioritize and complete tasks in a timely manner
  • Must be able to maintain confidentiality (understanding of FERPA and HIPAA laws and requirements)
  • Able to prioritize and handle a constant and at times heavy workload and ensure that actions are completed effectively and within deadlines sometimes with minimal supervision
  • Must be proficient in verbal, written, and interpersonal communication skills to work effectively with diverse populations
  • Proficient computer skills in PeopleSoft, Microsoft Office (MS Word, Excel, Access, PowerPoint), various database systems, and Drupal (for webpage updates)
  • Demonstrated initiative and problem-solving abilities

Physical Demands

  • Ability to lift and move up to 25 pounds
  • Ability to sit for extended periods of time

  • Must demonstrate attention to detail, organizational skills, financial accountability, strategic thinking, sound decision-making, and problem-solving ability to work under pressure and in an environment with frequent interruptions
  • Must use good judgment in handling sensitive, confidential, or difficult situations in a pleasant and professional manner
  • Ability to take direction, use discretion, and maintain a high degree of professionalism and responsiveness in daily interactions with a broad range of stakeholders
  • Ability to learn and react quickly, make decision and execute them expeditiously
