Building Manager

Department: Maintenance
Location: Grand Rapids, MI

The Operations Building Manager is required to manage and supervise custodians and custodial operations activities at campus buildings and adjacent surroundings as assigned, currently including:

The Building Manager interfaces with faculty, staff, and students. In addition the Manager monitors and orders supplies, arranges for room set-up and covers special events, entryway and sidewalk snow removal, etc., and other duties assigned by the Associate Director of Facilities, Operations.

By accepting these responsibilities, the manager is making sure all buildings and adjacent ground areas are ready for day to day business. When these responsibilities are carried out, all patrons (staff, students, public) will have an enjoyable experience and will feel comfortable, safe and happy with their trip to and into these buildings.

ESSENTIAL FUNCTIONS

  • Evaluate, monitor and document custodial staff attendance, job performance and interaction with co-workers, administrators, faculty, students and facility customers
  • Supervise, manage, monitor and evaluate staff and their runs within portfolio of buildings
  • Develop, maintain, and ensure cleanliness standards for respective facilities are met
  • Monitor, document, maintain and analyze custodial supplies to ensure an adequate on-hand supply is readily available for each shift
  • Ensure the completion of cleaning care and maintenance of all types of floor surfaces within the facilities using low impact products, to maintain floor upkeep while still maintaining a high quality finish
  • Take initiative in the coordination of the assigned work with other day-shift operations building managers, their employees, and within their assigned buildings
  • Research and advocate for sustainable cleaning methods and products
  • Ensure the proper care, maintenance, and security of all custodial, facility and college equipment, and related assets
  • Establish and maintain business relationships with vendors for necessary cleaning supplies and materials
  • Assess and develop training requirements for operational staff including personal development plans
  • Train custodial staff in all aspects of assignments
  • Maintain flexibility. Be able to satisfactorily adapt to a constantly changing set-up environment for facility activities, vendor requests and customer service with appropriate guidance
  • Promote a harmonious and congenial working relationship between administrators, faculty, students, customers, vendors, custodial staff, etc., in meeting requirements with appropriate supervision
  • Assess facility needs and generate maintenance work order requests for respective facilities
  • Coordinate, assist and complete all scheduled and unscheduled tasks with supervisory guidance
  • Coordinate, assist and complete all assigned tasks pertaining to the set-up, tear-down, and after event cleaning of functions within assigned facilities
  • Monitor and ensure safety and security standards are met for assets and facilities
  • Assist with the movement and/or storage of equipment between facilities
  • Perform Emergency Response Framework responsibilities for the implementation and execution of the Emergency Response Plan
  • Research and evaluate new products, materials, equipment and cleaning techniques to be used by the operations staff
  • Attend regular team meetings
  • Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position
  • Performs other related duties as assigned

JOB SPECIFICATIONS

Educational Credentials

  • Associate degree preferred
  • National Career Readiness Certificate (NCRC) preferred
  • Must possess a valid Michigan driver’s license
  • Must possess or have the ability to obtain and maintain a Hi-Lo license

Work Experience

  • Three (3) years or more experience in Management, Operations, Custodial, Maintenance or Grounds
  • Previous management or leadership experience preferred
  • Proven experience in working with diverse populations both with individuals and group
  • Knowledge and experience in the proper care and maintenance of floors and carpeting preferred
  • Customer service skills.- working with and communicating with staff, students and public as we carry many in-house and external events
  • Computer proficiency is required, including Microsoft Office, Google, and Schooldude, FMX, (maintenance work order software)
  • Experience in use of pallet jack, Hi-Lo, elevated platform work lifts, and scrubbing machines

Skills

  • Experience in reading a layout for a special event setup
  • Previous experience in managing a team
  • Experience in cleaning techniques
  • Training classes in management
  • Customer service skills- dealing with all who enter the building ( staff, students, public )
  • Skills in documentation- accuracy and detail involving employees
  • Project management– projects happening in buildings, the manager will be the liaison between construction manager and project manager with college.
  • Manager will have to solve unforeseen issues when they arise and be able to adapt and move forward to complete the assignment

  • Ability to train custodial staff in the proper care, maintenance and cleaning of appropriate facilities and equipment
  • Ability to oversee the set-up and tear-down of College and outside vendor event functions
  • Ability to oversee the safety and security issues for a facility
  • Knowledge of emergency shutdown of mechanical/electrical equipment procedures
  • Demonstrated ability in assessing and ordering supplies and materials for facilities
  • Ability to review and complete time and comp time sheets
  • Ability to schedule personnel for shift work, vacations, and work coverage
  • Ability to work with vendors for materials and equipment, such as pest management, snow plowing, flooring installation, third party cleaners, and event set-up and tear-down, etc.
  • Ability to learn how to drive Kubota for snow removal

Physical Demands

  • This position requires long periods of sitting, standing, walking, lifting (50 lb bags of salt), cleaning, scrubbing, using indoor and outdoor equipment and the ability to travel between building and campuses in overseeing and managing operations and building up-keep
  • Must be able to lift and move 50 lbs
  • Event setups and snow removal to ensure staff, students, and public are always happy and safe

  • Must be able to communicate effectively, both verbally and in writing
  • Must be able to effectively manage in high stress operational issues and concerns
  • Must be able to effectively manage staff vacancies and complete daily tasks at hand
  • Problem solving, decision making, exercising supervision
  • Must be able to handle situations that arise at any time as buildings operate more than 8 hours a day

  • Must be able to work flexible hours and adjust to the conditions that are happening at the time(event, weather, call-ins etc. ) (nights, weekends, holiday if problems arise )
  • Must be able to work indoors and outdoors in all weather conditions at all times of the day or night
  • Must be able to commute between all campus locations to oversee and manage operations and grounds
